Data Retention Policy

1. Purpose
This Data Retention Policy explains how long Great Marketing AI Inc., doing business as Lead Distro AI, keeps the different types of data we hold on behalf of our customers, and when we delete that data. It supplements our Privacy Policy and Data Processing Addendum.
2. Retention Schedule

3. Account Deletion
When you cancel your subscription, you have a 30-day grace period to reactivate or export your data. After 30 days:
- Your account is marked as deleted and no longer accessible via the application
- Lead data, campaign configurations, and reports are scheduled for deletion within 30 days
- Call recordings and transcripts continue to follow their own retention schedule above (12 / 24 months) regardless of account deletion, because they may be needed for legal defense
- Billing records continue to be retained for the 7-year IRS period because they are required by law
- Legal acceptance records are retained indefinitely as proof of contract formation
4. Backup Purge
Deleting data from the live application does not immediately purge it from encrypted backups. Backups follow a rolling 30-day rotation, so any deleted data is fully purged from all backups within 30 days of deletion from the live system.
5. Customer-Initiated Deletion (Data Subject Requests)
Individual data subjects (the consumers in your lead records) may request deletion of their personal data under GDPR Article 17 and CCPA § 1798.105. Submit requests to support@leaddistro.ai. We will respond within 30 days. Where the consumer's data is part of an active billing dispute, suppression list, or legal hold, we may retain it for as long as the legal basis exists.
6. Legal Holds
If we are notified of pending or actual litigation, regulatory investigation, or law enforcement request, we may suspend the deletion of relevant data for the duration of the legal hold. Affected customers will be notified unless prohibited by law.
7. Changes to This Policy
We may update this policy from time to time. Material changes will be posted on this page with an updated “Last updated” date.
